Privacy Policy

Who we are

This site is the public website for the Vulcan Discord community. It is made by MiMs. There is no separate company named as operator. Questions and data requests go through the Vulcan Discord server only — we do not collect or publish an email address.

What we collect

Depending on how you use the site and Discord, we may store:

  • Discord identify data when you log in: user ID, username, display name, and avatar. Login uses Discord OAuth with the identify scope only. We do not request your email. The OAuth access token is used once and discarded.
  • Roster and game records for people already on the Vulcan members list or who use the Discord bot: role, Ignis balance, raffle tickets, invite joins, and staff notes such as bans.
  • First-party visit counts — a hashed visitor key derived from your IP (not the raw IP), plus the page path stored beside it, used for the admin dashboard. Bot command stats may include a Discord user ID.

We do not collect email addresses, phone numbers, legal names, or payment cards.

Cookies and browser storage

The site sets first-party cookies needed to run login and staff tools:

  • vulcan_session — signed login session (about 7 days).
  • vulcan_oauth_state — short-lived Discord login check (about 10 minutes).
  • vulcan_preview and vulcan_db_gate — staff-only tools (about 1 hour and 12 hours).

Your browser may also store an intro-skip preference in localStorage and a one-time chunk-reload flag in sessionStorage. There are no marketing or third-party analytics cookies.

What we show in public

Some Discord identity is visible without logging in:

  • The Discord widget (who is online on the server, with names and avatars).
  • The credits wall and landing spotlights (roster names and avatars, unless a member is hidden from credits).
  • Raffle entry lists and winners when a raffle is set to show them — Discord ID, name, avatar, ticket counts, and odds.
  • Invite leaderboards — inviter name, avatar, and invite counts.

How we use the data

We use this information to run the website and Discord community: show who is logged in, gate the members roster and admin tools, run raffles and invite boards, and give staff a visit/command chart. Website login is roster-gated — having a Discord account is not enough; your Discord ID must already be on the Vulcan members list.

Third parties

Discord provides login, avatars, the server widget, and message webhooks. We scrape public Top.gg bot pages on the server when staff add showcase bots (that scrape does not track site visitors). Fonts are bundled at build time via Next.js. We do not use Google Analytics, ads, or other third-party trackers.

How long we keep it

Login sessions last about 7 days. First-party site stats (including the hashed visitor key used to count unique visits) are kept about 90 days so the admin chart can show longer ranges. Roster, raffle, invite, ban, and winner records may be kept as community history. Staff may delete or edit records when they handle a request or fix an error.

Staff access

Officers and leaders can look up Discord profiles, adjust Ignis, ban users, and manage raffles and invites. The admin audit log is limited to leaders and developers — officers cannot open it. A smaller staff group can unlock a password-gated database explorer. Those tools exist to run the community, not to sell data.

Children

The site follows Discord’s age rules. You must be at least 13 to use Discord and this website, including raffles. We do not knowingly collect extra data from children, and we do not run a separate age gate.

Requests and deletion

There is no self-serve delete form and no contact email. Ask in the Vulcan Discord. We may be able to hide a credits listing, remove a roster row, or trim stored profile fields. Public raffle winners, invite history, and similar records may stay visible so the community record stays accurate.

Changes
